Merging two task groups

Last updated October 12, 2026

Sometimes a project ends up with two task groups doing the same job, or work that was split across groups that should have been one. Merging folds one group into another, moves everything in it across, and deletes the group you merged away.

The subtasks keep everything they hold, including their time entries and their history.

This article is for project managers and anyone else tidying up a project's structure.

Who can do this

You need the Edit projects permission, which is described in Rofinery as "Modify project settings and content".

Team owners and administrators have it by default. For everyone else it's granted per person, so whether you have it depends on how your workspace is set up.

If you can't see Merge group in a task group's menu, ask a team owner or administrator to check your permissions on Team settings → Team members.

Before you merge

A few things are worth knowing first.

  • Merging can't be undone. Read the dialog before you confirm it.

  • Both groups have to be on the same project.

  • If you only want to move some of the work, move those subtasks instead and leave both groups in place. See Moving subtasks between task groups.

Important: The group you merge away is deleted. If it has a forwarding email address, that address stops working, and anything forwarded to it afterwards is lost.

Merge a group into another one

  1. Open the project and go to the Tasks tab.
  2. Switch to List or All view.
  3. Find the task group you want to get rid of. Click the three-dot menu on its row.
  4. Click Merge group.
  5. Read what the dialog says is about to move. See the table below for what each line means.
  6. Under Choose a group, pick the group that should survive. Each one shows how many tasks it already holds, and you can type to search.
  7. Click Merge and delete this group.

Rofinery confirms the merge and tells you how many tasks moved.

What the dialog tells you first

The dialog only lists the things that actually apply, so a simple group shows fewer lines than a busy one.

Line What it means
N tasks will move How many subtasks are in the group, all of which move to the group you pick
N time entries logged against this group will move with it Time logged against the group itself rather than against one of its subtasks. You won't see this anywhere else on the page, which is why the dialog mentions it
N linked requests will point at the other group Support requests linked to this group. The links move to the surviving group
This group's email address will stop working The group has a forwarding email address. Deleting the group retires that address

What happens to the group you merge away

  • The group itself is deleted, along with its name and its position in the list.

  • Its subtasks move to the group you picked, and join the end of that group's list.

  • Each subtask keeps its time, comments, checklists, assets, assignees, dependencies and activity.

  • Each subtask gets a "Moved from ... to ..." line in its Activity tab.

  • Its forwarding email address stops working.

The surviving group keeps its own name, its own owner and its own email address. Nothing about it changes except that it now holds more work.

Limits and constraints

  • Merging can't be undone. There's no "unmerge", and recreating the group by hand won't bring back its email address.

  • You can only merge groups that are on the same project, so only groups on the current project are offered.

  • The merged-away group's forwarding email address is retired rather than inherited. The surviving group keeps its own.

  • Statuses, priorities, dates, estimates and assignees aren't changed by a merge.

  • A running timer on one of the subtasks keeps running throughout.

  • Merge group is only in List and All view.

Troubleshooting

  • There's no Merge group option in the menu. You need the Edit projects permission. Ask a team owner or administrator to check it.

  • The dialog says "Nothing to merge into". The project has only one task group. Create the group you want the work to end up in first, or move the subtasks instead.

  • The Merge and delete this group button is greyed out. Pick a group under Choose a group first.

  • People were emailing work into the group you merged. That address no longer works. Give them the surviving group's address instead, from that group's three-dot menu.

  • A task you expected to move isn't in the new group. Check whether it was already in the group you merged into. Merging moves everything out of the old group, so nothing is left behind.

  • You merged the wrong way round. The group you opened the menu on is the one that gets deleted. To put things back, move the subtasks into a new group and recreate the old group by hand.
